1. Information We Collect
We collect information in three ways: information you give us directly, information collected automatically when you browse our website, and information collected through our third-party booking platform.
1.1 Information You Provide Directly
- Contact details: full name, phone number, and/or email address, submitted through our website booking form or provided verbally/by phone when scheduling an appointment.
- Appointment details: requested service, preferred date and time, and any optional notes or messages you choose to include (for example, describing your hair goals).
- Communications: any messages, emails, or texts you send us regarding your appointment, questions, or feedback.
- Reviews and testimonials: if you choose to leave a public review (e.g., on Google), that content becomes publicly visible and may be quoted on our website with attribution to your first name and last initial.
1.2 Sensitive Information Discussed In-Salon
Before certain chemical services (such as color, balayage, bleach, or keratin treatments), we may verbally ask about allergies, skin sensitivities, prior chemical treatments, or pregnancy, solely for your physical safety during the service. This information is discussed verbally, is not recorded, written down, stored in any file, or entered into any computer system or booking record, and is not retained by us after your appointment.
1.3 Information Collected Automatically
When you visit our website, our hosting provider and analytics tools may automatically collect certain technical information, including:
- IP address and approximate geographic location (city/region level)
- Browser type, device type, and operating system
- Pages visited, time spent on the site, and referring website
- Date and time of access
1.4 Information From Our Booking Platform (GlossGenius)
Our online booking and payment system is operated by GlossGenius, a third-party scheduling and payment platform. When you book an appointment or make a payment online, GlossGenius collects and processes your information directly, under its own privacy policy, available at glossgenius.com/privacy. This may include your name, contact details, appointment history, and payment card information.
We do not store, view, or have access to your full payment card details. All payment processing is handled securely by GlossGenius and its payment processing partners.
2. Cookies and Analytics
Our website uses Google Analytics, a web analytics service provided by Google LLC, to help us understand how visitors use our website (for example, which pages are most popular and how visitors found us). Google Analytics uses cookies — small text files stored on your device — to collect this information.
The data collected by Google Analytics is aggregated and anonymized where possible, and is used solely to improve our website and marketing. We do not use this data to identify you personally.
Your Cookie Choices
- You can disable cookies through your browser settings at any time. Disabling cookies may affect some website functionality but will not prevent you from calling us or booking an appointment.
- You can opt out of Google Analytics tracking across all websites by installing the Google Analytics Opt-out Browser Add-on.
- We do not currently use Facebook Pixel, retargeting advertising, or cross-site behavioral tracking. If this changes in the future, we will update this Policy accordingly.
3. How We Use Your Information
We use the information we collect for the following purposes:
- To schedule, confirm, modify, or remind you of appointments
- To communicate with you about your booking, including by phone call, text message, or email
- To provide the hair services you have requested safely and effectively
- To process payments and deposits through our booking platform
- To respond to inquiries, questions, or feedback you submit to us
- To improve our website, services, and the overall client experience
- To comply with applicable legal, tax, and recordkeeping obligations
We do not sell, rent, or trade your personal information to third parties for their own marketing purposes. We do not use your data for automated decision-making or profiling that produces legal or similarly significant effects.
4. How We Share Your Information
We share personal information only in the following limited circumstances:
- Service Providers: with GlossGenius (booking and payment processing), our website hosting provider, and Google Analytics (website usage statistics) — each of which processes data under its own privacy policy and solely to provide services to us.
- Legal Requirements: if required to do so by law, subpoena, or other legal process, or to protect the rights, property, or safety of Luxe Hair Lounge, our clients, or others.
- Business Transfers: in the event of a sale, merger, or transfer of the salon’s business assets, client information may be transferred as part of that transaction, subject to confidentiality protections.
We do not share your information with advertisers, data brokers, or any other third party for marketing purposes.
5. Data Retention
- Appointment and contact records are retained for as long as you remain an active client, and for a reasonable period afterward to allow for re-booking, follow-up, and recordkeeping.
- Verbal health/safety information discussed before a chemical service (Section 1.2) is never recorded or retained — it exists only as part of the in-person conversation at the time of service.
- Payment information is retained by GlossGenius according to its own data retention policy and applicable financial regulations; we do not separately store payment data.
- Website analytics data (Google Analytics) is retained according to Google’s default retention settings, which we may configure to the shortest period that meets our reporting needs.
If you would like your contact and appointment information deleted from our records, you may request this at any time using the contact details in Section 9.
6. How We Protect Your Information
We take reasonable administrative and technical measures to protect personal information against unauthorized access, alteration, disclosure, or destruction, including:
- Restricting access to client contact information to Beata, the salon’s sole owner and operator
- Relying on GlossGenius’s PCI-compliant infrastructure for all payment processing, so that card data never passes through or is stored on our own systems
- Using a securely hosted WordPress website with HTTPS encryption
No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security.
7. Your Privacy Rights
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Access: the right to request a copy of the personal information we hold about you
- Correction: the right to request correction of inaccurate or incomplete information
- Deletion: the right to request that we delete your personal information, subject to certain legal exceptions
- Opt-Out: the right to opt out of marketing communications and analytics tracking (see Section 2)
- Restriction: the right to request that we limit how we use your information in certain circumstances
To exercise any of these rights, please contact us using the information in Section 9. We will respond to verified requests within a reasonable timeframe, generally within 30 days.
California Residents (CCPA/CPRA)
If you are a California resident, you have the right to know what personal information we collect, request deletion of that information, and opt out of the „sale” or „sharing” of personal information. We do not sell or share personal information as those terms are defined under the CCPA/CPRA.
European Residents (GDPR)
If you are located in the European Economic Area, our legal basis for processing your information is generally your consent (for marketing/analytics), the performance of a contract (for booking and providing services), or our legitimate business interests. You have the right to lodge a complaint with your local data protection authority.
8. Children’s Privacy
Our website and booking system are not directed at children under 13, and we do not knowingly collect personal information from children under 13 through our website. We do provide haircut services for children when accompanied by a parent or guardian, who is responsible for providing any booking information on the child’s behalf.
